Government contracting

Deep experience with federal contractors.

Government contracts bring their own rules: allowable costs, indirect rate pools, timekeeping standards and DCAA reviews. I set up and run accounting that is built for those rules from day one, so audits confirm your numbers instead of questioning them.

  • DCAA-compliant systemsChart of accounts, job cost and segregation of direct and indirect costs.
  • Pre-award system reviewsReadiness for the SF 1408 accounting system review.
  • Indirect rate structuresFringe, overhead and G&A pools, provisional billing rates and true-ups.
  • Incurred cost submissionsAnnual ICE schedules prepared and reconciled to the books.
  • FAR Part 31 allowabilityUnallowable costs identified and excluded before they are billed.
  • Timekeeping & labor distributionPolicies and controls that stand up to floor checks.

Questions

Before we talk.

Do you work with clients outside Florida?

Yes. Most engagements are remote, and clients are located across the United States. I am licensed in Florida and Delaware and prepare federal and multistate returns.

Can you represent me before the IRS?

Yes. As a CPA I have unlimited practice rights before the IRS, which covers notices, examinations, collections and appeals for any tax matter.

Which accounting systems do you support?

QuickBooks Online and Desktop, NetSuite, Sage Intacct and Acumatica, plus Xero and Sage 100 Contractor. I work in your system rather than moving you to mine.

We are bidding on our first federal contract. Where do we start?

Usually with the accounting system itself. A DCAA-compliant setup with clean direct and indirect cost segregation is what a pre-award review looks for, and it is much easier to build before the award than after.

How are fees set?

Ongoing accounting is a fixed monthly fee. Project work is hourly with a not-to-exceed estimate for each phase. Either way, the fee is in the signed engagement letter before work begins.
